No reply after a payment reminder? Don’t send the same message again — BaatBanao guide

Silence does not always mean refusal. The invoice may be with accounts, the contact may be unavailable, or there may be a genuine dispute. Use a measured sequence that asks for a useful response and creates a clear record.

Avoid spam: Do not send repeated messages within hours, add unrelated people to a group, threaten the recipient, or shame them publicly. Adjust timing to your contract, relationship and urgency.

A four-step follow-up sequence

Step 1 · 1–2 business days after the first reminder

Check whether they received it

Hi [Name], checking whether you received my earlier message about invoice [Number] for ₹[Amount]. Could you please confirm receipt and let me know the current payment status?

This works because it asks for a small, specific response instead of assuming bad intent.

Step 2 · 2–3 business days later

Ask for an exact date or the right contact

Hello [Name], I have not yet received an update on invoice [Number], due on [Date]. Please share the expected payment date. If another person handles payments, kindly connect me with them or forward this message.

Step 3 · After the promised date is missed

Reference the commitment calmly

Hi [Name], following up because payment was expected on [Promised Date] but has not reflected yet. Please confirm whether it has been processed and share the transaction reference, or provide a revised date you can meet.

Step 4 · Final written reminder

Set a reasonable deadline and next step

Hello [Name], this is a final written follow-up for invoice [Number] of ₹[Amount], originally due on [Date]. Please arrange payment or send a proposed resolution by [Deadline]. If we receive no response, we will review the next steps under our agreement.

Before escalating, check these five things

  1. The invoice went to the correct email/WhatsApp number.
  2. The amount, tax details and purchase order are correct.
  3. Your agreed credit period has actually ended.
  4. The payment has not arrived under a different reference.
  5. You have saved dates, messages and promised-payment dates.

If they reply with a problem

Invoice dispute: Ask which line item is disputed and request the undisputed portion on time.

Cash-flow problem: Consider a written partial-payment schedule only if it is acceptable to you.

“Payment processed”: Request a transaction reference and allow normal settlement time.

No responsible contact: Ask for the accounts-payable person rather than messaging multiple employees randomly.

Create a respectful next message

Choose the relationship, language and strength. Review the generated text before sending; BaatBanao never sends automatically.
