How to write a final payment reminder that is firm—not threatening
A final reminder should summarise the facts, provide one reasonable deadline and state only the next step you are genuinely prepared and entitled to take.
Final reminder checklist
- Correct recipient and business name
- Invoice/reference number and exact outstanding amount
- Original due date and dates of earlier reminders
- A specific, reasonable response/payment deadline
- Accepted payment method or invoice attachment
- Your contact details for a genuine dispute

What not to write
Do not say “pay today or I will defame you”, threaten police/arrest as a collection tactic, contact family members unnecessarily, or publish personal information. Strong communication is factual and documented—not humiliating.
After sending
- Save a copy and delivery timestamp.
- Do not send repeated reminders every few hours.
- Reconcile bank/UPI records before escalating.
- If there is a dispute, separate disputed and undisputed amounts.
- For significant debts, obtain advice from a qualified professional on your contract and lawful options.
